The Division
The Security, Integrity and Information Security (SIIS) Division is responsible for the Club’s integrity by combatting criminality, corruption, and information security risks, including cyber security that may impact business. Through robust governance and proactive security measures, SIIS is dedicated to maintaining a secure environment and upholding uncompromising integrity across Club operations.
Job Summary
The job holder reports to Deputy Executive Manager, Racing Security & Integrity Assurance (DEMRSIA) and is responsible for providing administrative and secretarial support to the Racing Security and Integrity Assurance Department.
The main task of the job holder will provide clerical and administrative support to the RSIA department and the Secretariat of the Sports Governance and Integrity Alliance (SGIA), of which RSIA is core member.
The job holder is also expected to support on a range of investigative and intelligence work as and when required by RSIA management. The Club will provide full on-the-job training in the required duties.
The Job
- Administrative and Clerical Support
- Perform clerical duties including typing, filing, copying, email handling, and responding to telephone calls and messages
- Set up and maintain efficient filing systems for both physical and electronic records, ensuring accuracy, timely updates, and ease of retrieval
- Handle and prioritise incoming and outgoing correspondence, ensuring prompt and professional responses
- Manage departmental inventory, procurement of office supplies and equipment and relevant software licence and permit renewals
- Secretarial Support
- Coordinate and arrange meetings, including scheduling, preparing agendas, and taking minutes where required
- Provide logistical support for meetings, events, and projects, including booking venues and coordinating travel arrangements
- Provide administrative support work to the SGIA Secretariat including, but not limited to, meeting coordination, stakeholder liaison and event planning
- Operational and Analytical Support
- Assist the team with basic data collation, record tracking, and preparation of routine summaries or reports
- Maintain administrative records related to procurement, invoices, contracts, and purchasing documentation
- Support for Investigation and Intelligence
- Assist the team in supporting investigation and intelligence-related projects as assigned by management. This may include helping with information gathering, basic research, documentation, and coordination tasks to facilitate project objectives
- Provide general support to the team’s daily operations. This includes assisting with information collation, data tracking, and administrative tasks related to ongoing projects and initiatives
- Support intelligence and research activities by assisting with the collection, organisation, and basic analysis of information from various sources, as directed by management
- Undertaking all lawful and relevant duties assigned by the Team
About You
- Recent university graduate in any discipline or other tertiary education
- Strong multi-tasking ability, organisational skills and attentiveness to detail
- Proficient in MS Office tools including Word, Excel and PowerPoint as well as Chinese word processing
- Fluency in both written and spoken English and Cantonese. Command of Putonghua is a plus
- Ablity to deal with highly sensitive issues while maintaining confidentiality for all Club related operations
- Relevant experience is an advantage but not required
