The Division
The People and Organisational Development (P&OD) Division is dedicated to cultivating a dynamic workplace culture that attracts, develops, and retains exceptional talent. The division serves as trusted advisors across the organization, aligning people practices with business goals to drive performance, innovation, and employee engagement.
The Department
The Corporate HR Administration Team is newly established to deliver centralised administrative support to P&OD and to coordinate Clubwide HR related administrative activities.
Reporting to Manager, Human Resources, the job holder shall be responsible for providing administrative support to Executives and across various departments, ensuring the smooth and efficient operation. This includes coordinating communication, managing logistics, and delivering professional secretarial assistance in accordance with the Club's policies and standards. The job holder also involves supporting a range of projects and compliance functions, while also engaging with stakeholders through various programmes and events.
The Job
- Manage and coordinate executive schedules, including appointments and travel arrangements, to optimize time management and efficiency.
- Serve as a point of contact for internal and external communications, handling inquiries and managing correspondence effectively.
- Perform clerical duties such as preparing meeting materials, including agendas, presentations, and minutes, ensuring all relevant documents are available in advance.
- Maintain a centralized filing system for confidential documents and ensure compliance with data privacy standards.
- Support onboarding and offboarding processes for Cludwide staff, including coordination of orientation meetings and interviews.
- Provide administrative support for departmental meetings, including logistics coordination and communication with participants.
- Assist with procurement processes, including expense management, processing claims and invoices.
- Maintain collaborative relationships across departments to facilitate smooth operations.
- Undertake other duties as assigned by Manager.
About You
- Degree in Business Administration, Secretarial Studies or related disciplines.
- At least 3-5 years of solid experience in sizable organisations; preferably in the role of a secretary or personal assistant to senior executives.
- Experience in event management is an advantage.
- Attentive to details and able to work independently.
- Excellent interpersonal skills with the ability to meet and deal with all levels in a professional and courteous manner and strong communication skills in both English and Chinese.
- Strong ability to prioritize, multi-task and work flexibly and independently with high level of accuracy.
- Excellent proficiency in MS Office applications and English/Chinese word processing; solid experience in report preparation.
