Assistant Administration Manager
Job Summary
The job holder will report to Manager, Transformation and provide comprehensive administrative support to the division. This role plays a vital part in contributing to the efficient and effective operations of the division.
The Job
You will:
- Provide administrative support to the division including but not limited to meeting arrangement, equipment/ facilities arrangement, travel logistics, expenses claims etc.
- Coordinate and arrange internal and external meetings, including preparing agendas, taking minutes and tracking the status of action items.
- Handle and prioritize all incoming and outgoing correspondence, including emails, letters, and memos, ensuring prompt and courteous responses.
- Compile and prepare various documents, including reports, meeting papers, and presentations.
- Assist with procurement processes, including maintaining records related to invoices, contracts, and purchasing documentation.
- Provide logistical support for events and projects, including scheduling and coordinating travel arrangements.
- Maintain collaborative relationships across departments to facilitate smooth operations.
- Undertake other duties as assigned by Manager.
About You
You should have:
- Higher diploma in Business Administration, Secretarial Studies or a related discipline
- At least 5 years of experience in administrative support or similar role
- High integrity in maintaining strict confidentiality when dealing with sensitive information and matters
- Good ability to prioritize, multi-task and work flexibly and independently with high level of accuracy
- Detail-minded, well organized, good team player and the ability to work under pressure
- Good interpersonal and communication skills
- Proficiency in MS Office applications
- Good command of written and spoken English and Cantonese
Terms of Employment
The level of appointment will be commensurate with qualification and experience.
