The Division
The Legal & Compliance (L&C) Division supports a full range of legal support and services on legal issues relating to business and operations of the Club. Within the division, the Corporate Secretariat Department is the focal point linking the management of the Club and the Board of Stewards.
The Department
The Corporate Secretariat Department serves as the central liaison between the Board of Stewards, Board of Management, and all business units of the Club. It oversees the activities of the Board and its sub-committees, as well as group companies, while managing corporate secretarial, governance, and compliance matters. The role requires expertise in board meeting management, high-level liaison work, and event coordination, including off-site meetings and bookings. As the primary contact point for administrative tasks, the job holder must demonstrate strong organizational skills, attention to detail, and the ability to collaborate effectively with colleagues, showing empathy and respect. This position calls for a proactive professional who can take instructions, learn quickly, and operate independently with minimal supervision.
The Job
- Liaise with and provide secretarial support to Stewards, Club senior management, Business Units, and Voting Members to ensure appropriate information is disseminated, enabling relevant parties to execute their duties effectively and facilitating an efficient approval process.
- Implement processes to promote, sustain, and uphold good corporate governance, including being innovative in developing solutions and eliminating outdated or ineffective practices.
- Manage and organize events, off-site meetings, bookings, and related logistics, acting as the primary contact point for all administrative matters.
- Coordinate and maintain effective liaison work across internal and external stakeholders to ensure smooth execution of activities.
- Work collaboratively as part of a team, providing support to colleagues while demonstrating empathy and respect for others’ knowledge and experience.
About You
- Minimum 5–10 years of relevant experience in company secretarial or executive assistant functions.
- Highly proactive, independent, mature, meticulous, self-motivated, and flexible, with the ability to work under pressure and meet tight schedules.
- Capable of taking instructions, learning quickly, and then operating with minimal supervision.
- Excellent communication and interpersonal skills, with strong verbal and written proficiency in both Chinese and English; Mandarin is a plus.
