Senior Administration Officer (Corporate Secretarial)

Job Summary

The Corporate Secretariat Department is the focal point between the Board of Stewards, Board of Management and all business units of the Club. It manages the activities of the Board and relevant committees and group companies, as well as managing corporate secretarial and related compliance matters. The job holder handles a wide range of company secretarial duties for both local and international group companies, including organizing meetings, preparing documents, and ensuring compliance with corporate governance standards. Responsibilities also involve drafting board materials, liaising with senior management, and providing secretarial support. The job holder must be adept at researching and implementing legal and regulatory requirements, promoting good corporate governance, and collaborating with team members while demonstrating empathy and respect.

Major Tasks

  • Liaison with and provide secretarial support to Stewards, Club senior management, Business Units and Voting Members to ensure appropriate information is disseminated to them, and also to coordinate Steward’s personal assistants.
  • Handle and coordinate with relevant parties for meeting arrangements, meeting attendance and resolution approval status.
  • Implement process to promote, sustain and uphold good corporate governance, including being innovative to develop solutions and eliminate old-fashioned and ineffective practices.
  • Able to work as a team and provide support to colleagues and other business units. Shows empathy and respect to others’ knowledge and /or experience and listens to their concerns/issues.

Experience

  • Minimum 10 years’ relevant experience in company secretarial functions.
  • Multi-tasking ability.
  • Good technical skills in MS Window and Office.
  • Well organised, systemic and able to attend to details.
