Administration Officer (Due Diligence, 1 Year Contract)

The Division
The Security, Integrity and Information Security (“SIIS") Division is responsible for the preservation of integrity by combatting criminality and corruption risks that can threaten horse racing, betting, and membership at the Club. The maintenance of a secure environment and integrity is key to our business. Not only is it important to ensure horse racing in Hong Kong is fair, it is also of paramount importance to the Club that there is governance and fair opportunities in all bet-placements. The department consists of Integrity & Financial Crime Risk, Racing Security & Integrity Assurance, Corporate Security and Information Security Risk & Assurance functions.
Job Summary
The job holder reports to the Senior Manager, Due Diligence. He/she is responsible for daily administrative and operational support to the Due Diligence (DD) team. This includes coordinating with internal and external stakeholders on operational matters, performing due diligence screening and record management duties, managing invoices and supporting financial processes, maintaining internal electronic filing systems and databases, and overseeing office logistics to ensure smooth daily operations.
The Job
- Manage due diligence screening requests by reviewing requests and documentation from business units, coordinating their processing, managing the finalisation and issuance of official memos/reports to business units, and updating internal screening records for the DD team
- Provide operational support to the DD team and liaise with business units to facilitate due diligence process, including coordinating interviews, supporting case management activities, maintaining accurate screening records, and preparing screening status reports for management
- Perform routine administrative functions for the DD team, including retrieving official records from public databases using the authorised purchase card, managing invoices and licence renewals for systems and databases, handling internal and external expense claims, and preparing budget and expense reports
- Serve as the contact point for external vendors, managing related sub-processes such as file sharing, PR/PO requests, and other communications between the DD team and vendors
- Maintain and update internal DD filing systems by organising and assessing documentation, as well as discarding records as required in accordance with the Due Diligence Operations Manual
- Manage office logistics for the DD team, including but not limited to scheduling meetings and events, supporting staff onboarding and offboarding, and processing purchase requests for office-related hardware and software
- Support other administrative functions and ad-hoc duties, as tasked by the Senior Manager, Due Diligence
About You
- A bachelor’s degree in a relevant field such as Business Administration or a related discipline
- Minimum of 3 years of relevant experience in administrative support or a similar role, preferably within sizable organisations
- Good communication skills for liaising with external and internal parties
- Strong oral and written communication skills in English and Chinese are essential
- Strong Microsoft Office skills including Word, Excel, PowerPoint, and Sharepoint
