(Assistant) Administration Manager, Pony World

The Department

The Equestrian Affairs Department aims to fulfil the Club’s vision to promote riding as a sport and raise participation at all levels, from beginner through to elite. It oversees the management of four equestrian centres, including the Member’s facility at the Beas River Country Club and three public riding schools at Tuen Mun, Lei Yue Mun Park and Pok Fu Lam. To achieve its aims, the department is introducing Pony World, a new educational equestrian facility located in Penfold Park at Shatin Racecourse.

 

The Job

You will:

  • Oversee the routine operations of Pony World and ensure the best possible use of available resources.  Discuss with other school-in-charges to develop operation and service standard procedures and guidelines that are applicable to Pony World.
  • Anticipate and meet the apparent and underlying needs of customers and respond in an appropriate manner.  Committed to provide high quality service to customers and continually seek improvements.
  • Take ownership of customer’s issues and following problems through to resolution. Keep a good communication line with the customers and discuss with the team to find an effective solution to customer’s problems.
  • Working with the team of equestrian coaches, lead and contribute to the delivery of regular sessions at Pony World, including but not limited to the welcoming of visitors to the facility, the briefing and debriefing of riders, and the supervision of customer activities at the facility, while taking horse welfare into account.
  • Supervise administration team and stable staff on day-to-day operations, including conducting regular staff meetings and handling staff matters.
  • Provide line management support to all staff of Pony World, including formal and informal performance management, staff development, annual leave coordination, monitoring of sick leave and other requirements as per Club procedures. 
  • Consolidate and check staff rosters, allowance, and prepare travel or training reimbursements, in compliance with the Club’s policies.
  • Co-ordinate with stakeholders on various matters to ensure the smooth operations of the Pony World facility e.g. finance, compliance, licensing, human resources, property repair and maintenance, procurement, transporation, audit, event programme management and periodic statistic reports
  • Provide support to promote equestrian activities such as open-days, school visits, roadshows, outside visits with external organisers.
  • Prepare facility notices and other publications for visitors and manage administrative documents required by the Government or the Club in a timely manner.
  • Work closely with Facility Maintenance and Property teams to maintain site facilities to a high standard to protect the Club’s image and ensure a quality of experience for customers.
  • Work with Departmental Safety Manager and consultants to ensure safety working practices are adopted and all Club OSH Policies are adhered to.

 

About You

You should have:

  • Tertiary education background
  • Minimum 8 years of relevant work experience in operations, administration and/or secretarial support, preferably in sizable organizations (including 2 years of experience in supervisory role)
  • Excellent interpersonal and verbal and written communication skills; good language proficiency in Chinese and English, some skills in Putonghua would be advantageous
  • Highly skilled administrator with full computer literacy (Microsoft Office including PowerPoint and Excel, and Chinese typing)
  • Pleasant personality and a strong customer service aptitude
  • Good coordination skills with external and internal parties
  • Experience with team leadership skill but able to work independently
